Inforouter - Archiving

[Inforouter]. Inforouter is designed to be an on-line archive but occasionally we are asked about archiving those documents already in Inforouter.

There are a number of things you can do, and which is best, really depends on what your final aim is? You have two main options depending on if you wish to remove the documents from Inforouter , or archive them internally.

The first step is to identify the documents to be archived. One suggestion is to create a  new library, and move the folders that are to be archived from their original folders to the new library. This can be either be done by manually selecting the folders/documents directly from the Document Library or taking them from the results of an inforouter search. Once you have the documents segregated, you can;

1. Install the import export/tool from the inforouter root\add-ins folder. This is an external tool, which will allow you select folders and export them to a similar folder structure outside of inforouter (with no metadata). Once exported you are then free to delete the folders from within inforouter.

2. . The new library can either be a normal library, or an Archive Library. If it is a normal library and you grant permissions the folders and documents are still on line, and searchable by the users, but as they are in a separate library, the number of folders list in the original library is reduced by the ones you have moved. The alternative is that you can make the new library an archive library. You move the contents to the new library in the same manner, and reduce the original folder list the same, BUT whilst the library in on-line, an archived library is not included in normal searches, and most other document management functions are not allowed on the documents, and folders, preventing them being amended further, as it is an archive. You can find more details about the archiving a library and moving folders and documents to another library in the Inforouter Help section under the help tab and then the archiving section.(PCA)

Please Note: If you delete documents from Inforouter, they are only truly deleted when Inforouter is purged, otherwise they are kept so that they can be restored, so to reclaim disk space the documents need to be purged.

Formate - Server Task Lock

[Formate] Formate server is designed to run as a single instance on a given server to prevent conflicts, and therefore has an in-built mechanism to control that only one copy of Formate server can run at a time. In the event of an uncontrolled server shutdown or sometimes as a result of Microsoft Update activities, this mechanism can become locked, and prevent Formate Server from starting to run, with a message saying that another copy is already running, when this is not true. If this occurs  and you have verified that another copy of Formate is not running on the same server either as a service or in another logged on session, then please call the help desk and request an unlock code be generated. This code can then be entered via the Formate Server Tools| Clear The Server Task Lock menu item.

If you purchased Formate via one of our Partners, the request for an code to clear the server task lock should be made via the Partner's support desk.(pca)

Unlock codes are free for customers with a current maintenance contract, whilst for Customers without maintenance an admin charge will be made. (pca)

Inforouter - 8.3 Released

I'm pleased to let you know that there is an 8.3 release of infoRouter. This features a substantial change in that it has been re-developed to use HTML5, to add enhanced browser compatibility. There is also support for Office 2013 and many other improvements

At present our best advice is not to upgrade to 8.3.001 on your production server, as there are a number of other new features around workflow and the display that we would like to investigate and become familiar with before any of our customers upgrade, so that we are able to offer the best possible support.
If you would like to install the latest version on a test server in the meantime, this can be arranged please contact us.
The release notes can be found at

Inforouter - Best Practice

[Inforouter] It is best practice not to install Adobe Reader™ directly on the Inforouter Server, if full text search of PDFs is required. It has been reported that installation of Adobe Reader™  directly on the server running MS Index may cause the MS Index Server, pdf ifilter if installed to have problems (pca)

Inforouter - Enterprise PDF Full text search

[Inforouter] Whilst Inforouter is designed to use a document's custom property set as the main search/retrieval criteria it also has a full text search capability which leverages MS Index Server. MS Index server requires a third party ifilter to be installed to catalog the contents of a text pdf. In most cases the ifilter provided by Adobe™ as a free download is sufficient from

however it may be that in the 64bit Enterpise environment that it should be upgraded with a more powerful ifilter. One such is the PDFlib TET PDF IFilter 4.1.

A a trial download is available

Document-Genetics do no supply, support or endorse any ifilter.

Inforouter - Full text search of Open Document Formats

[Inforouter] Inforouter utilises MS Index Server to service full text search requests, and therefore if not natively supported by MS Index Service a third party ifilter is required. Installing Libre Office™ on the Inforouter Server will add an ifilter for the Open Document Formats such as ".odt", etc.(pca)

Users should satisfy themselves that they comply with the terms of the Libre Office™ license before installing.

Inforouter Custom MIME Type

[Inforouter] Should you wish to add custom mime types to associate Inforouter content with a particular application such as Libre Office™ you will need to edit the following file;

C:\InfoRouter\Configmimetypes.custom.xml   (default location)

You will need to add an entry for each document type in the following format

<item ext="odt" desc="Libre Office Document" detail="Libre Office Document" mime="application/vnd.oasis.opendocument.text" />

in the <mimetypes> section of the XML file.

An example with 4 Libre Office™ formats is below (pca)

<?xml version="1.0" encoding="utf-8"?>
 <item ext="odt" desc="Libre Office Document" detail="OpenDocument Document" mime="application/vnd.oasis.opendocument.text" />
 <item ext="odg" desc="Libre Office Document" detail="OpenDocument Drawing " mime="application/" />
 <item ext="ods" desc="Libre Office Document" detail="OpenDocument Spreadsheet " mime="application/vnd.oasis.opendocument.spreadsheet" />
 <item ext="odb" desc="Libre Office Document" detail="OpenDocument Database" mime="application/vnd.oasis.opendocument.database" />

Inforouter - Custom Icon for documents

[Inforouter] Inforouter ships with a comprehensive set of file type icons, but should you wish to add others, or customise an existing one, create your new icon as a 16 x 16 pixel gif file named as ext.gif. For example for a Libre Office Document it would be odt.gif, and an autocad drawing dwg.gif. then just add these to the site icons folder, which by default is to be found at

Inforouter - AUTOCAD Viewer

[Inforouter]  As inforouter implements all viewing through the browser or client based application if you wish to view Autocad™ format CAD drawing (.dwg,.dxf, .dwf) directly from Inforouter you need to have a CAD viewer installed on the Client PC. This can be the native Autocad Application from Autodesk™ or their free to use viewer Trueview 2014™. Another alternate is IGC's™ free Brava viewer This can also be upgraded to add functionality if required.

Any application that provides a Browser plugin will open directly in the browser if supported, otherwise the drawing will be loaded into the local client application instance(pca)

Document Genetics do not supply, support or endorse any CAD viewer products, and other products can also be used with Inforouter.

Inforouter IIS Application Pool User - Why is it important?

[Inforouter] A default install of Inforouter uses a predefined user account (Network Service) for the Default Application Pool (IIS6) or the build in account for the Network Service user for the Classic.Net Application Pool (IIS7) under which the Inforouter Application runs.

As part of the default installation, the Network Service user should be granted "full control" permissions to the Inforouter Installation folder, the warehouse location, Index location and the Windows\temp folder.

If you change the Application pool user to another predefined/built in account or to a configurable/custom account, this new user must be granted explicit permissions to the same locations for inforouter to work.

Symptoms of specific permissions not be applied to parts or all of the folder structure are the inability to expand the folder list in the library view and the inability to view documents etc. (pca)

Inforouter - IIS8

[Inforouter] Currently Inforouter does not support being installed on IIS 8 as provided with Windows 8, and Windows Server 2012. This is due to to these operating systems not supporting MS Index Server. These operating systems support the later MS Search Technology, and work is underway to accomodate these OS based changes. An announcement will be made as soon as this level of IIS is supported. (pca)

Inforouter - prevented from opening a MS Office 2010 document

[Inforouter]  When accessing a MS Office document with Office 2010, it is possible you will see the following message and will be prevented from opening the document.

“Access to this web server is disabled by default because it is controlled by basic authentication and does not use Secure Sockets Layer SSL).”

This is an issue with Office and the following MS knowledge base article addresses it.

Inforouter - Storage Requirements

[Inforouter] An example of an Inforouter Storage Scenario;

A Customer wishes to store 100,000 documents with each page being a full page of text. On average each document is 200kb, and 25% of these documents will have a second version.

100,000 x 200kb = 20 Gb - Primary Warehouse Storage
25% x 100,000, x 200kb = 5Gb - additional storage for document versions

Total Warehouse Size = 25Gb

As these documents are catalogued with MS Index Server to provide full text search, an allowance of 150% of the original warehouse size needs to be made for the MS Index Server Catalog;

25Gb x 1.5 = 37.5Gb

Finally there is the Inforouter database, which in this example can be approximated to 300mb

Therefore the total requirement is

25 + 37.5 + 0.3 = 62.8Gb

Inforouter - MS Index Server

[Inforouter] The main search facility within Inforouter is based upon the Custom Property Sets, which contain the meta-data, and are held in the database behind Inforouter. Inforouter also has a secondary search facility, which queries an MS index server catalog of the documents in the Inforouter Warehouse. Whilst Inforouter queries this catalog to provide the full text search functionality, the generation of the catalog is independent of inforouter, and it's creation and contents are the responsibility of MS Index Server. MS Index server can interact with any MS Office document, or any document where an associated ifilter has been loaded. (See other posts on a suitable ifilter for PDF files).

Please Note: It is possible that an MS Index Catalog of an Inforouter warehouse can be 1.5 times the size of the original warehouse. This is in addition to the original warehouse size. (pca)

Set IE to prompt for username and password

[Workflow] When using Internet Explorer in its default settings your Windows credentials will  automatically be used to log you on to the DG Workflow system. This behavior saves a user having to log into a system using credentials which they have already entered when they logged into Windows.

In most cases this is the desired behavior.  But what if you want to log into the DG Workflow system using different credentials from those used to log into Windows?

IE can be configured to prompt a user to enter the username and password which should be used to log into a given system for a given security zone.  Specifically in this case you can set IE to always prompt you for a username and password when accessing the Local intranet zone (the zone within which the DG Workflow system exists).

The following instructions show how to configure IE9 to prompt for a username and password when accessing the DG Workflow system.

  • Open IE
  • Open the Internet Options dialog
  • Click on the Security tab (1)
  • Select the Local intranet zone (2)
  • Click on Custom level... (3)
  • Scroll to the User Authentication section
  • By default Automatic logon only in Intranet zone is selected (4), change this to Prompt for user name and password
  • Click OK, you will be prompted to confirm you want to save the changes
  • Click Yes, the Security Settings dialog will close
  • Click OK to save the changes and close the Internet Options dialog
Internet Options \ Security Settings dialogs

NOTE: - If the address used to access the DG Workflow system contains a period character (.) then IE may evaluate the system to be within the Internet zone and not the Local intranet zone.  In this case the instructions above should be modified appropriately.

Inforouter Indexing Custom Properties

[Inforouter] When a Custom Property Set (CPS) is created within Inforouter none of the fields are indexed. This is because Inforouter does not have a method of formulating  the relative importance or frequency of use of any given field with the CPS. However manual indexes can be applied within the Database, you can ask you DBA to do this for you. (PCA)

Formate - New Install crashing on startup

[Formate] Formate Server or Configuration crashing on start up of new install.

Formate Server or Configuration can crash upon the first start of a fresh install if another version of the IDAutomationLinear.dll is installed. Formate uses the IDAutomationLinear5.dll from ID Automation for the creation 1D linear barcodes. The problem is highlighted in the MS crash report, and can be resolved by un-installing any other program using another copy of IDAutomationLinear.dll (PCA)

Microsoft Updates locking formate server

[formate] So far this year we have had 2 reports of formate servers being left in a locked state, and therefore unable to process, by microsoft updates failing on the host server. When formate server is running as an application, this will be manifested as an inability to start the formate server and a message that another copy is already running. When formate server is running as a service, within remote control the server will show the status of "processing jobs" set to no, and you will be unable to start processing jobs. If this occurs please contact the support desk to get an unlock code. This code can then be entered under Tools|Clear the server task lock. (pca)

Formate Tasks - Using {autonumber} when saving copies of raw data

[Formate] When configuring a task within formate server, you can configure the options to save a copy of the raw data received by formate to be processed. To prevent overwriting of the raw data files a unique  naming convention can be set up. One of the options for this is {autonumber}. Using {autonumber} inserts a sequential number into the raw data saved file name and is taken from a global sequence of numbers shared between all tasks on the formate server. This means that it is not necessarily true that 2 consecutive data files for one task will have consecutive numbers if one or more data files for other tasks, also using the autonumber feature in the saving of the raw data files, have been processed in between them. (pca)
